About Claudiassist

What is Claudiassist?

An administrative assistant for people who run their business alone. Your messages land in a single inbox sorted by AI assistants; you prepare quotes and invoices, follow your customer jobs and calendar, speak your requests to the assistant, and your yearly accounts build up as you go. The principle: the AI prepares, you approve.

See the tutorials

Where do I start?

After sign-up, a three-step setup wizard (identity, contact details, confirmation) records the essentials about your company. The home page then offers you a choice of usage profile (Simple or Full), and the “Getting started” card guides you. Complete the profile (SIRET, VAT regime…: that is what lets you issue a quote), connect a mailbox, and prepare a first quote. The tutorials follow this order.

See the “Set up your company” tutorial

Who is it for?

Self-employed people, micro-entrepreneurs, freelancers, consultants, trainers, service providers, agencies, very small businesses and small teams: anyone who handles their admin without a secretary or an in-house accountant.

Which devices can I use?

On a computer, in a browser. There is also a mobile app (your day, messages, expenses, voice) available on the App Store (iPhone) and on Google Play (Android), that keeps what you enter when the network drops.

Which languages are available?

French and English, for the app as well as for this site.

Can I change the language, the theme or the home page?

Yes. The language (French or English) and the theme (light, dark or your system's) are set in the top bar; the home page and the display density, in Settings › My account › Preferences. These choices are specific to the device you make them on. That page also holds your usage profile, Simple or Full: it belongs to each team member, and tucks away or shows advanced features without deleting anything. On mobile, language, theme and usage profile are set on the Settings screen.

Can I hide the settings I don’t use?

Yes: on your first sign-in, the home page asks how you want to work. The Simple profile keeps the essentials (quotes, invoices, jobs, email) and tucks advanced settings away — progress invoices, retention, margin, cash flow, bank reconciliation; the Full profile shows everything. Nothing is deleted: a tucked setting comes back as soon as a quote uses it. Each team member picks their own and can change it at any time in Settings › My account › Preferences.

See the tutorial Find your way around the app

Can I bring my existing customers and documents?

Yes. Your contacts and your price list: “Import contacts” and “Import services” read a file or a spreadsheet (or start from a list of usual services for your trade), and on mobile “Import contacts from your phone” (in the “+” of the top bar) brings over the contacts you tick in your address book. Your quotes, invoices, credit notes and payments received: the bulk import, on a computer, from the Solo plan, reads them from a CSV register, PDFs or XML electronic invoices; you review before confirming, and the original remains the reference. Claudiassist does not claim to be compatible with any particular software: it reads the files you give it.

See the tutorial “Bring over your documents”

Trial, plans and subscription

How does the free trial work?

The trial lasts 14 days and needs no credit card. Trial limits: users 1, mailboxes 1, calendars 1, AI credits per month 350, quotes per month 5, invoices per month 3. The assistant (text and voice) and calendar sync are included, within your AI credits; automatic reminders, the yearly accounting file, e-invoicing and help with VAT and contribution filings open up from the Essential plan; bringing over your quotes and invoices from other software (bulk import) opens up from the Solo plan; sending texts to customers from the computer, from the Pro plan (texts written on the mobile app stay possible with every plan). AI credits are only granted once your email address is verified, and the trial is limited to one per company.

Create my workspace

What happens when the trial ends?

Your workspace becomes read-only: you can still view and export your data, but no longer add to it — no quotes, invoices or payments. It reopens as soon as you pick a plan. Invoices issued during the trial are real invoices: export them to keep them.

See the plans

What is the difference between Essential, Solo, Pro and Team?

Essential covers all the paperwork: unlimited quotes and invoices, automatic reminders for quotes and unpaid invoices, an AI-sorted inbox, the yearly accounting file, e-invoicing and help with filings, the mobile app — with one mailbox, one calendar and 300 AI credits per month, without the assistant. Solo adds the assistant (text and voice), the bulk import from other software and more volume: users 1; mailboxes 2; calendars 1; AI credits per month 1,500. After that, what changes is volume. Pro — users: 3; mailboxes: 5; calendars: 3; credits: 5,000. Team — users: 10; mailboxes: 10; calendars: 10; credits: 15,000. Sending texts to customers from the computer is reserved for Pro (120 per month) and Team (400 per month); a text written in the mobile app goes out from your own phone and stays possible with every plan. Delegated re-sorting of personal messages is reserved for Pro and Team, custom roles for Team. Prices are on the pricing page.

See the pricing

Can I pay yearly?

Yes. Every plan can be paid monthly or yearly; yearly, you pay ten months instead of twelve — two months free — in one go. You choose the billing frequency when you subscribe, from the app, and you can switch to yearly during your subscription: the difference is prorated for the days left. Going back to monthly takes effect at the end of the year already paid, with no refund.

See the pricing

What is the launch offer?

During the launch, the first hundred subscribers get 30% off for twelve months on their first subscription, whatever the plan, monthly or yearly. The discount is applied automatically on the payment page, with no code to enter; it cannot be combined with a promotion code. The pricing page shows whether the offer is still open.

See the pricing

What if I run out of AI credits?

Actions that use the AI are refused until the monthly counter resets, or until you move to a higher plan. There is no overage billing: you never pay more than your subscription.

What happens to my team if I move to a lower plan?

Whatever exceeds the new plan is frozen, never deleted: extra users become read-only, extra mailboxes and calendars are paused. Your data stays intact and everything becomes active again if you move back up.

How do I change plan or cancel?

From the app, in Settings › My account › Subscription. Plan changes are scheduled there; the “Cancel subscription” button takes you to Stripe's secure customer portal, where you also manage your payment method and download your subscription invoices. After cancelling, your workspace becomes read-only: you can view and export everything, but add nothing.

How does payment work?

Payment is made from the app, once your workspace is created: never on this site. It goes through Stripe, monthly or yearly. A billing address is requested and the VAT number is optional; promotion codes are accepted, except during the launch offer, whose discount is applied automatically. The available payment methods are shown by Stripe when you pay.

What if a payment fails?

You have 7 days to sort it out. After that the workspace is suspended: you can no longer issue quotes or invoices, or record payments. It reopens once payment goes through.

Mailboxes and messages

Which mailboxes can I connect?

Gmail and Outlook (Microsoft), by granting access at the provider itself: Claudiassist never sees your password. Any other mailbox connects over IMAP; Orange, Free, SFR, La Poste and OVH are preconfigured. Prefer an app password, required with Orange and for Gmail over IMAP.

See the tutorial

What is an app password, and why am I asked for one?

It is a dedicated password, created at your email provider, that only serves one application and can be revoked without touching your usual password. Orange requires one for an IMAP connection, and so does Gmail (which first asks you to turn on 2-Step Verification for the Google account): if your usual password is rejected, this is the most common cause. With Free, SFR, La Poste and OVH, Claudiassist does not require one. The password is stored encrypted and is never shown again. For Gmail or Outlook, you can also go through “Connect Gmail” or “Connect Outlook”, with no password to enter.

See the IMAP step-by-step tutorial

My mailbox shows an error: what should I do?

The mailbox status, in Settings › Mail and calendar › Mailboxes, tells you why. “Sign-in rejected”: your provider no longer accepts the password; click “Reconnect” and enter it again (the app password for an IMAP mailbox). “Server unreachable”: check the server address and port you entered. “Temporary issue”: nothing to do, syncing resumes on its own. A mailbox marked “Paused — over plan” exceeds the number of mailboxes in your plan: nothing is deleted, and it resumes as soon as a slot frees up or the plan is upgraded.

See the IMAP step-by-step tutorial

How many mailboxes can I connect?

1 during the trial, 1 with Essential, 2 with Solo, 5 with Pro and 10 with Team.

Do my messages arrive instantly?

No: your mailboxes are checked regularly, not in real time. A “Refresh” button in the inbox lets you avoid waiting.

Which older emails are retrieved when I connect a mailbox?

The last 90 days for Gmail and Outlook, 30 days for another provider (IMAP), 500 messages at most. The assistant sorts them and spots contacts, documents to sign and suggestions, but drafts no reply and does not notify you about these older messages, which do not use your AI credits. A notification and a summary at the top of the Messages page tell you when the import is finished. A reconnected mailbox is not imported again.

See the tutorial

Can I mark all my messages as read at once?

Yes. “Mark all as read”, at the top of the message list (in the list menu on mobile), applies to the threads shown by the current filter, after confirmation, and can be undone for a few seconds. For a Gmail or Outlook mailbox you own, the messages are also marked as read in your email account. You can also tick threads to mark them read or unread, archive them or sort them.

See the tutorial

Are contacts found in my emails added automatically?

No. The assistant suggests them, and “Contacts spotted in your emails” gathers them, one line per person: you review them, choose their role and tags, then import or dismiss them in one go. A person who already has a record (same email or same SIRET) is linked to it rather than duplicated.

See the tutorial

Does the AI send messages for me?

No. It prepares drafts, which only go out when you click “Approve and send”. A quote or an invoice only goes out when you ask for it, and the assistant reads the recipient back first. The only exceptions are reminders for quotes and unpaid invoices, which you switch on yourself (from Essential): they then leave from your mailbox, with a fixed text you know in advance.

Can I sign a document received by email without printing it?

Yes. When an email asks you to sign and return an attached PDF (contract, purchase order, handover report…), the assistant spots it and the thread shows a “Documents to sign” card: “Sign” adds your saved signature where it belongs, with the notes and initials the document asks for, then “Send the reply” returns the signed document to the sender. You can also ask the assistant. Nothing is signed or sent without your action; a document to be signed on a platform such as DocuSign or Yousign is signed on that platform.

See the tutorial

Can I write to a contact who has never written to me?

Yes, by email: “New message” in Inbox (on mobile, to the right of the search or in the “+” of the top bar), or “Write to this contact” from their sheet (on mobile, “Write an email” in its ⋮ menu). The message goes to the email address on the sheet, never to an address typed by hand, from one of your connected mailboxes: the app suggests the one the contact last wrote to, or the one last used to write to them, and asks you which one otherwise. You write and send it yourself (templates and attachments are possible); the assistant doesn't write in your place. The screen needs a connection.

See the Write to a contact tutorial

How does the assistant sort my messages?

It classifies each conversation by type and priority, brings the urgent ones up and sets personal ones aside. It also proposes draft replies and suggestions (create a contact, a job, a quote, an appointment) that you accept or ignore. You can correct a conversation's priority and attachment at any time.

Can I hand over the sorting of personal messages to someone?

Yes, with the Pro and Team plans: someone on your team can take over the sorting of the personal messages the assistant set aside.

Can I keep a mailbox to certain people?

Yes. The owner or an administrator chooses, mailbox by mailbox, who sees its messages: the whole team (the default), or only some roles (administrators, office…) and/or some people. The management mailbox or the accounting one thus stays with those concerned. The person who connected the mailbox always sees it, and their personal messages stay theirs alone. The setting is in Settings › Mail and calendar › Mailboxes, on a computer as on mobile; it is logged, and the person who connected the mailbox is notified when someone else changes it.

Quotes, invoices and accounting

Do quotes include the mandatory legal information?

Claudiassist checks at issue time the information you have to provide: identity and legal form, SIRET, address, VAT regime (VAT number or exemption mention), capital and registration for a company, ten-year liability insurance for building trades, and the quote's customer (a name is enough). For a consumer, it also checks the customer type, the context in which the contract is concluded (which sets the right of withdrawal), the payment terms, whether the quote is free or paid, and the place and the date or duration of the service. If something is missing, nothing is issued: the fields concerned turn red, with a link to where to fill them in. The company profile can also be completed from the mobile app (Settings › My company › Company profile), by the owner and administrators. The customer's address does not block issuing a quote: the customer can give it on the acceptance page, and it is required before the invoice. Invoices also carry the payment mentions required between businesses. You remain responsible for the content of your quotes (validity period, VAT rates, wording of the services): if in doubt, have them reviewed by your accountant or your trade body.

Where do I set my VAT regime and VAT number?

On desktop: Settings › My company › Company, “Registration & VAT” section. On mobile: Settings › My company › Company profile. You say whether you charge VAT (VAT exemption, simplified or normal regime) and enter your intra-community VAT number if you have one. The workspace setup wizard asks as well, but you can skip it. As long as the regime is missing, a quote cannot be issued, and the quote screen sends you there in one click. Only the owner and administrators can change it.

See the Company tutorial

Can I customize the look of my quotes and invoices?

Yes: four templates (Classic, Modern, Minimal, Bold), an accent color and three free texts, an introduction and a conclusion for quotes, a footer for quotes and invoices. The setting applies to the PDFs of your quotes and invoices, including the one of your electronic invoices. There is no font choice.

See the tutorial

Who can set the look of documents, and where?

The workspace owner and administrators, on a computer: Settings › My quotes and invoices › Appearance. Other members do not see the page. The setting is made once, applies to the whole company and does not exist in the mobile app.

See the tutorial

Can I remove or hide legal information or columns?

No, on purpose. The style is purely visual: the legal information, the table columns (description, quantity, unit price excl. VAT, VAT, total excl. VAT), the totals and the VAT breakdown stay the same whatever the template, because a quote or an invoice requires them. Your free texts are added around that content and never replace it, and you remain responsible for what you write in them.

Do quotes I already sent change if I change the style?

No. A quote sent or an invoice issued keeps the look it had when issued: it is archived as is (barring an exceptional archiving failure at issue time). The new style applies to your drafts and to documents issued after you save.

Where do I put my terms and conditions of sale?

In the “Footer” (Settings › My quotes and invoices › Appearance): up to 1,500 characters, printed at the bottom of your quotes and invoices. It is the place for your terms of sale, your guarantees or any detail specific to your business; late-payment penalties and the recovery indemnity are already printed on your invoices between businesses. You remain responsible for the content of this text.

See the tutorial

Can I see the result before saving?

Yes: the “Preview” button opens a sample PDF, a fictitious quote “DEV-EXEMPLE” watermarked “PREVIEW”, with your company's identity and logo, rendered with the style you are currently entering. Nothing is saved until you click “Save”.

See the tutorial

How do I manage my contacts and customers, and avoid duplicates?

The Contacts page is your address book: each record brings together its jobs, quotes, invoices and conversations. The role tells what the record is for: “Customer” for whoever receives your quotes, invoices and jobs, “Supplier” for your purchases; you pick it when creating the record and can change it later. You create records by hand, by importing a file or a spreadsheet (“Import contacts”), from your phone (see “Can I import the contacts from my phone?”), or by accepting the assistant's suggestion when a new correspondent writes in (it never creates a contact on its own). A message is attached to a record when the sender's address is the same. For a duplicate, “Merge a duplicate” moves the conversations, quotes, invoices, jobs and expenses of the absorbed record onto the record you keep; the operation cannot be undone. On mobile, a “Possible duplicate” banner flags, on a best-effort basis, a record that looks like the one you open, and “More” lets you merge or delete the contact.

See the Contacts tutorial

Can I import the contacts from my phone?

Yes, from the mobile app: the “+” of the top bar, then “Import contacts from your phone”. The app only reads your address book after you allow it; you browse it, tick the people to bring over and choose their role (customer, supplier or other). Only the name, company, phone number, email and address of the contacts you ticked are sent; the others never leave the phone. People who are already there (same email or same company ID) are spotted and not created twice; a phone number shared with an existing record is only flagged, and you decide. You can withdraw the permission at any time in the phone's settings.

See the Contacts tutorial

Does the app warn me if a business client is in difficulty?

Yes, for clients with a SIRET or a French VAT number: the app reads in the BODACC, the public bulletin of legal notices, the latest insolvency proceedings published (safeguard, receivership or liquidation). They show on the client’s record, quotes and invoices, with the deadline to file your claim with the administrator, and you are alerted when proceedings open. Information only, never a block. Only the SIREN number is looked up. You can exclude a client from their record, or stop this reading for the whole company in Settings › My quotes and invoices › Reminders: what had been read is then erased.

See the Contacts tutorial

What does the assistant base a quote's prices on?

On your service catalog, first. When you dictate a service that matches a line of your catalog, the assistant takes its price and VAT; it does not match a neighbouring service (supply and fitting instead of fitting only, another size…) and, when in doubt, it links nothing. A price you state (“€45 per square metre”) takes precedence over the catalog, and, for an item missing from your catalog, the assistant takes the price from one of your issued quotes (an accepted one first). A service with no stated price, neither in the catalog nor in your quotes, becomes a €0 line that you price yourself: it never guesses a price. The catalog, which holds up to 1,000 services, is managed on a computer (Quotes & invoices › Catalogue) as well as in the mobile app (Settings › My quotes and invoices › Service catalogue); a starter list for your trade (“Your usual services”) fills it in one gesture.

See the tutorial

Can I bring over my quotes and invoices from other software?

Yes, from a computer, with the bulk import: you drop a CSV register exported from your previous tool (or cells copied from a spreadsheet) and PDFs or XML electronic invoices, you review what Claudiassist read, then you confirm — nothing is saved before. Quotes, invoices, credit notes and payments received are brought over with their original number, and their customers become contact records. Claudiassist reads the files you give it: it does not claim to be compatible with any particular software. A few limits: a partial credit note, a till receipt or a delivery note is not imported, a deposit invoice, progress invoice or retention is imported as a plain invoice, and expenses, suppliers and jobs are not brought over by this import. Keep your original PDFs and exports: they remain the reference.

See the tutorial “Bring over your documents”

Which files can I drop to bring over my documents?

A CSV register (or cells pasted from a spreadsheet) for quotes, invoices, credit notes and payments received, whose column mapping you check; and PDF or XML documents, up to 25 per drop and 10 MB each. An XML electronic invoice (Factur-X, UBL or CII) is read without AI; a PDF is first read by an already known layout, without AI, otherwise by AI if you allowed it. The same file can only be dropped once. Amounts must be in euros, with VAT at 0, 5.5, 10 or 20%, and an invoice must have been issued by your company; a row or document that does not pass is set aside or marked “To fix” with its reason, never guessed.

See the step “Drop a register”

Does the AI read my documents? What happens to my consent?

Only if you allow it, and only for a PDF that Claudiassist cannot read on its own (a scan, an unknown layout); CSV registers and XML electronic invoices do not need it. With your consent, the content of the document — which may include your customers' names, addresses and amounts — is sent to an AI provider that is a processor of Claudiassist (Amazon Web Services Bedrock or Mistral AI, hosted in the European Union), solely to extract the amounts and lines. Bank account numbers (IBAN) in the text of a document are masked before sending; a scanned document is sent as is, bank details included if they appear on it. Your consent applies to this import, the text you accept is versioned and archived, you can withdraw it at any time (no further document is sent after that) and you give it again if the text changes. After review by its team, Claudiassist also keeps only the layout of a document — never its content, nor the name of your company or of your customers — in a shared registry, to recognise documents from the same software faster for other customers.

See the step “Drop your PDFs”

Do my old invoices count in my annual file?

It depends on the start date you choose with Claudiassist when switching to Claudiassist: preferably the first day of a period you have not yet filed in your previous software (VAT or contributions), but any past date remains your choice. Earlier invoices and payments are archived: kept and available to consult, but outside the annual file, VAT returns, reminders and bank reconciliation, since they are already in the accounts of the previous software; those dated from that date onwards count in the annual file. As long as the date is not chosen, your imported invoices and payments stay on hold, and the annual file says so. This date is final: if in doubt, ask your accountant before choosing it. Documents from your previous company (another SIREN), which you can include by certifying your link with it, always stay archived, outside your annual file.

See the step “Review before confirming”

Can I try Claudiassist without leaving my previous software right away?

Yes. Import your documents without choosing a start date: you are then trying Claudiassist alongside. Your imported quotes, invoices and customers can be consulted, but your imported invoices and payments stay on hold — neither archived nor counted in the annual file — and Claudiassist does not issue invoices, so that your official numbers do not follow two series at once. Import your new documents as you go (a document already imported is detected and set aside), then, on the day you invoice with Claudiassist, “Switch to claudiassist” sets your start date and your last numbers, once and for all.

See the step “Switch to claudiassist”

Can I send again or chase an imported invoice from Claudiassist?

No: the original is the reference. An imported document keeps its original number and amounts, and Claudiassist generates no electronic invoice and no new PDF for it, and transmits nothing: it neither sends nor chases it, by email or by SMS, and it is part of neither the automatic reminders nor the e-reporting. The app says so and invites you to send the original file yourself. A PDF you dropped is kept with the document, as an archived document.

See the step “Confirm: it is final”

Who can import, and with which plan?

The owner and the administrators of the company, because the import writes many accounting documents at once and sets the start date; this right cannot be granted to a custom role. The import is included from the Solo plan (Pro and Team included); it is not included in the free trial, nor in Essential: the screen says so and points to the plans. It is done on a computer and does not exist in the mobile app. Contacts and the services catalogue can be imported from the trial.

See the tutorial “Bring over your documents”

Does Claudiassist send the quote to my customer?

Yes, when you ask it to. “Issue” first freezes the quote and archives its PDF; the action menu of an issued quote then offers “Send to the customer”. The quote goes out from your connected mailbox, with its PDF attached and the link to accept it online; you see the address before you confirm, and the message shows up in your inbox. You can also ask the assistant: it offers to send the quote to the quote's contact, asks which contact to send it to if the job has several, then reads the recipient back before sending. Nothing goes out without your say-so. From the computer, on the Pro and Team plans, the quote can also go out by text message to the mobile of the quote's contact: the message carries the acceptance link, with no amount or attachment. In the mobile app, on every plan, a customer who only has a mobile number receives the quote by text message: your phone's messages app opens with the text and the acceptance link ready, you send it from your own number, then confirm “Yes, sent” — until you confirm, the quote is not recorded as sent. You can still copy the acceptance link or download the PDF to send it through another channel.

See the tutorial

Which contact does the quote go to?

By default, the contact attached to the quote: a quote created from a job takes that job's customer. If the job has other contacts reachable by email (the job's customer, a contact whose business messages are linked to the job), the app asks you to choose the recipient before sending, and you confirm the address. Only the quote's contact gets the link to accept it: any other contact receives the quote attached, for information, and the quote's contact does not receive it through this sending. A contact without an email address cannot be chosen for an email: their record needs completing. From the computer, on the Pro and Team plans, the quote's contact can receive it by text message on their mobile. In the mobile app, on every plan, the quote's contact who only has a mobile number receives the quote by text message. A quote can also go out without a customer record: the app then asks for a name and a mobile number (or an email address), creates the record on sending or reuses the one that already holds that number or address, and the quote goes to that contact.

See the tutorial

Why won't my quote issue?

Because something required to issue it is missing: the quote's customer, the customer type and the conclusion context, a line without a description or a line suggested by the assistant left at €0, details of your company profile. For a private customer, the payment terms, the place, the date or duration of the work and the cost of the quote are required too. On a computer, the “To do before issuing” panel lists them; on mobile, the status icon of the bottom bar gives their number and opens the “To complete on this page” list, and “To complete elsewhere” leads to your company, before taking you back to the quote. The customer's address does not block issuing: a quote can go out without a complete customer record (the list flags it with “Client to complete”) and the customer gives their address when accepting.

See the On mobile: price and issue a quote tutorial

Can I delete a quote that has already been sent, and get it back?

Yes: a quote is deleted without being destroyed, whatever its status (draft, sent, accepted, declined, expired, withdrawn), unless a draft invoice or an accepted amendment depends on it. On mobile, by swiping its card, a long press or “More actions” on its sheet. The confirmation says what changes: for a sent quote, the acceptance link stops working for your customer; for an accepted quote, linked invoices and deposits are kept and your customer keeps read access to their contract. The “Deleted” filter restores it with its previous status. To correct an amount, prefer “Withdraw the quote”, of which your customer is informed. “Delete permanently” is irreversible, reserved for the owner and administrators, and refused while an invoice or a proof of acceptance depends on it.

See the On mobile: delete, withdraw and restore a quote tutorial

Can the client pick options on the quote?

Yes: a line marked “optional” keeps its price, in brackets, outside the total. When accepting the quote online or signing on your screen, the client ticks the options they keep; if the agreement reaches you another way, you tick them yourself. Totals become those of what was kept, and invoices, progress invoices and follow-up only count that. Lines can also be grouped in sections, each with its subtotal.

See the tutorial Get quotes done faster

What does the assistant see when it reviews a quote?

The descriptions, quantities and units of the lines, and the descriptions in your catalogue: neither your prices nor your client. It returns at most five remarks — a usual service left out, a quantity that does not match another line — and changes nothing: you follow a remark in one gesture or ignore it. It never suggests a price.

See the tutorial Get quotes done faster

Can I build a quote from a supplier quote or a spreadsheet?

Yes: “From a document” takes the lines of a supplier quote or invoice already read, an old quote or a quantity table (CSV export of your spreadsheet, or pasted cells; an .xlsx file must first be exported as CSV). You set a markup on the purchase price and, if needed, a time line; the draft only carries selling prices, and purchase prices stay visible to you alone.

See the tutorial Get quotes done faster

Can I prepare the supplies order for my quotes?

Yes: the Shopping list (⋯ menu of the Quotes page, or a job's sheet; on mobile, the sheet of an accepted quote or of a job) takes the lines of one or more accepted quotes, adds up quantities by description and groups them by supplier — that of the latest received document carrying the line. Each list can be copied, shared or emailed from your own mail app; the app places no order itself.

See the tutorial Prepare the supplies order

How does my customer accept a quote?

Online, from the acceptance link, with one click or by typing their name; if the quote has options, they tick the ones they take, and the page asks for their address if their record has none. You can also record an acceptance yourself: a quote signed “approved for agreement” that you upload, or an acceptance obtained in person. The assistant can also spot an agreement in a received email and suggest it to you.

Where can I find the proof that a customer accepted my quote?

On an accepted quote's sheet, on a computer as well as on mobile (“View the acceptance proof”), the list of the proofs of agreement that were kept, most recent first: how the customer accepted (online, typed name, signed quote uploaded, agreement recorded on site, signature on site, agreement received by email), when and by whom. They are read-only and can no longer be changed once recorded.

See the On mobile: invoice and get paid tutorial

Can I change a quote that has already been accepted?

No: an accepted quote can no longer be edited. The app creates an amendment, a new quote linked to the first, which your customer accepts in turn.

Are quote reminders automatic?

They exist from the Essential plan, but you switch them on: your consent is the mandate for the app to follow up on your behalf, from your connected mailbox, with the acceptance link, during your company's business hours. Without activation, no reminder goes out. The delays are counted from the quote's first transmission to the customer (sent by email from the app, or “Mark as given to the customer”). They stop on their own as soon as your customer replies, accepts or declines, or when the quote expires; six reminders at most per quote.

See the Reminders and automations tutorial

Can I centralise my suppliers' quotes and invoices?

Yes, in “Received documents”: import a PDF, a photo (JPEG, PNG or WebP) or a Factur-X, UBL or CII electronic invoice, 10 MB at most; on mobile, photograph it. An electronic invoice is read without AI; a PDF or a photo is read by the AI, which uses credits. The assistant can also spot an invoice attached to a received message, but not in every case: if it does not show up, import it. You always check what was read before confirming it (on a computer, or from the correction of the lines on mobile), and neither the IBAN nor the total is ever validated without you. A received quote stays a document; an invoice or a till receipt goes to supplier invoices, from which the expense is created.

What happens to a supplier invoice once it has been read?

It goes to “Invoices to process” (Owner, Admin and Office roles), where the app spots duplicates: same file, same number from the same supplier, or same amount within a few days. It never merges on its own: you decide “It's the same invoice” or “It's a different invoice”. The expense starts as a draft, to be confirmed; it can only be confirmed automatically if you chose “Already validated” in the matching automation, for a VAT-exempt business and an verified sender. A till receipt is recorded including VAT, with no deductible VAT. If a document gives a different IBAN from the invoice already received, the app prompts you to call the supplier before paying.

How do I invoice an accepted quote?

From the accepted quote, “Invoice the deposit” then “Invoice the balance” — or “Create a progress invoice” to invoice as the work progresses, instead of the final invoice. You can also ask for a draft deposit invoice to be prepared as soon as the quote is accepted: you still have to check and issue it. A call-out can also be invoiced without a quote: “Invoice”, from its job sheet, creates a call-out invoice. An invoice is sent by email, with its PDF and a link, and you then track its payment. Unpaid invoices show up on the home screen, under “To do”; you can remind them in one tap from the Invoices page, by email or by text (from your phone, on mobile), and you can also turn on automatic reminders (Settings › My quotes and invoices › Reminders, from Essential): a friendly reminder then a firm one go out from your mailbox, and the formal notice is prepared for you but never sent on its own.

See the tutorial

Can I invoice a deposit, then the balance, and correct an invoice?

Yes: as a rule, an invoice stems from an accepted quote (the call-out invoice, drawn from a job sheet, is the exception). “Invoice the deposit” prepares a deposit invoice, “Invoice the balance” a final invoice that deducts the deposits already invoiced. The legal number (sequential, with no gaps, per year) is assigned on issue; an issued invoice can no longer be edited or deleted. To correct it, create a credit note, which cancels it in full: there is no partial credit note.

See the Invoices tutorial

Can I invoice without a quote?

Yes, for a one-off visit: from the signed job sheet, “Invoice” prepares the call-out invoice from the job sheet’s lines, at your catalogue prices. At a private client’s home, unless the client asked for urgent help, no payment can be requested for 7 days: the app takes this into account. On the issued invoice, “Take payment now” shows a transfer QR code and records a cheque or cash.

See the tutorial Get a job sheet signed and invoice on the spot

How do I track payments?

Issuing an invoice creates an expected payment, which you confirm when the money is received (cash, bank transfer, card, cheque or other); you can also enter a partial payment or a refund, or, on mobile, a payment received before any invoice (“New payment”, linked to a job). The journal of payments received can also be browsed on mobile, in Invoices › Payments. “Take payment now”, in front of the customer, shows a bank transfer QR code (IBAN and amount prefilled) and records a cheque, cash or a transfer received in one tap: on mobile from an issued invoice's page, on desktop in the call-out invoice. An invoice becomes “Paid” when confirmed payments cover the amount due. Claudiassist does not offer your customer online payment: it records what you have collected and never handles funds.

See the Invoices tutorial

Can I invoice as the work progresses?

Yes, on an accepted quote: “Create a progress invoice” opens a screen where you record, line by line, the cumulative progress reached since the start (as a percentage, a quantity done or an amount done excl. VAT, or the same percentage everywhere), as of a date you choose. Each progress invoice bills the difference from the previous one; the app works out the amount, the VAT, the deposits deducted, the retention and the net payable as you type. The progress invoice starts as a draft, can be corrected until it is issued, then receives its legal number on issue. The one that takes every line to 100% settles the quote: there is no final invoice afterwards, and a progress invoice can no longer be added after a final invoice. Same gesture on mobile; the assistant can also prepare a progress invoice from dictated progress, which you read over before it is created.

See the Invoice as the work progresses tutorial

What happens to the deposit already paid when I invoice progress?

It is deducted from the progress invoices according to the mode you set in the quote editor (“Deposit deduction”; with the Simple profile, this setting only appears when the customer is a business or the quote already uses it, and always with the Full profile), which the quote prints in its terms. “Pro rata to progress”, the default mode, applies the deposit in proportion to what is invoiced, VAT rate by VAT rate. “First progress invoices first” applies it to the first progress invoices until it runs out: a customer who paid 30% only pays 20% of a progress invoice at 50%. In both cases, the exact remainder is deducted on the last progress invoice, and the deducted amounts excl. VAT and VAT are frozen on the invoice when it is issued. A new deposit can still be invoiced between two progress invoices, within what remains to be invoiced.

See the Invoice as the work progresses tutorial

How does the retention work?

You set it on the quote (“Retention (%)”, from 0 to 5%, 0 if none; with the Simple usage profile, this field only appears when the customer is a business or the quote already uses it, and always with the Full profile). Each progress invoice, like the final invoice, deducts that percentage of the document's total incl. VAT: the invoice prints the retention, then a “Net payable” reduced by the retention. The retention is still owed by your customer: it is tracked as a receivable to collect (invoice page, annual file), even when the invoice is “Paid”. When the customer pays it, “Collect the retention”, in the quote's menu, records the payment, which is possible once the invoices' net has been paid. The app handles neither a substitute bank guarantee nor escrow: the retention is released by hand.

See the Invoice as the work progresses tutorial

Can I close a quote before it reaches 100%?

Yes. The last progress invoice can settle the quote “as it stands”: you choose “Settle the quote as it stands” and give a reason of at least 10 characters, printed on the invoice. Unfinished lines are no longer invoiced, the whole remaining deposit is deducted and the quote is closed. If the issued progress invoices have already deducted everything, “Close invoicing” (quote menu) closes the quote without a new invoice, the reason being kept in the log. After that, no further invoice is issued from the quote, unless you cancel one of its progress invoices with a credit note: invoicing then reopens so the progress invoice can be redone.

See the Invoice as the work progresses tutorial

How do I correct a progress invoice?

While it is a draft, “Edit progress” recalculates it. Once issued, it can no longer be edited, and you have two options. If you invoiced too much, the next progress invoice can make up for it with an adjustment: a line goes back below the progress already invoiced, for a negative amount, as long as the invoice stays positive. Otherwise, a credit note cancels it in full, but only the last issued progress invoice can receive one: the redone progress invoice takes its rank back and states that it replaces the old one. There is no partial credit note.

See the Invoice as the work progresses tutorial

Why does the same invoice appear twice, and what does Claudiassist do?

Many suppliers send the electronic invoice and a PDF copy by email. Claudiassist recognises the same invoice (same supplier, same number, or same file) and files the copy with the original: a single expense. When it is not sure, it flags it in Invoices to process and you decide: “It's the same invoice” or “It's a different invoice”. “Undo this choice” lets you go back on it.

Does a till receipt count as an invoice?

Not for VAT, unless it bears your company's name and all the particulars of an invoice. A receipt creates an expense counted including tax, with no deductible VAT: VAT can only be deducted on an invoice made out in your name. To deduct the VAT on a purchase, ask the supplier for an invoice in your name; when it arrives, Claudiassist matches it with the receipt for the same purchase and asks whether it is the same invoice — an expense still in draft then takes the invoice's VAT. If the receipt already bears, printed by the seller, all the particulars of an invoice in your name, say so in Invoices to process (“This receipt is an invoice in my name”): you answer for that choice in the event of a tax audit.

What does the accounting part do?

It gathers your expenses (entered by hand, dictated to the assistant, or prepared by the AI from a received supplier invoice, as a draft to confirm) and your payments received, and builds the year's file. You export it as PDF or CSV, or send it to your accountant from your connected mailbox. It is “ready for your accountant to validate”: it does not replace them, and it produces neither balance sheet nor tax return package. Available from Essential.

See the tutorial

Can I attach the receipt of an expense?

Yes. In the mobile app, take a photo of the receipt or pick a file (image or PDF) as you enter the expense; on a computer, attach it from the expense form. The receipt stays attached to the expense and can be viewed from it; it can be replaced or removed while the expense is a draft. Also keep the paper original: a photo is not always accepted in its place.

See the tutorial

Can I dictate an expense?

Yes, on desktop and on mobile. In “New expense”, describe the expense in writing, or by voice from the Solo plan (“diesel at Total, €74.50 incl. VAT, yesterday”): the assistant pre-fills the label, category, amount, VAT rate and date, only with what you said. An amount or rate that is not in your sentence is never invented, and anything it could not place is pointed out to you. Nothing is saved until you press “Save”: you review and correct first. Each description uses one AI credit.

See the tutorial

What is bank reconciliation for?

To check that your books are complete before you hand them over. You add the bank statements for a period; Claudiassist compares them with your receipts and expenses and lists the differences: a card expense never recorded, a forgotten invoice payment, an expected receipt still to confirm, a credit that is not income. You fix them from the reconciliation screen, or explain what needs no entry, then download the bank reconciliation statement as a PDF for your accountant: a prepared document that they check and approve. Bank reconciliation comes with the annual file, from the Essential plan.

See the tutorial

Can Claudiassist mark my invoices as paid when the transfer arrives?

It suggests it; it never does it on its own. Claudiassist does not connect to your bank: you add a statement — the simplest is last month's, and the home screen invites you to do so, under “To do”, from the 1st to the 10th of the month. For each transfer that matches an invoice that is due (by the amount, the invoice number or the client's name in the label, or by the sum of several invoices from the same client), you see the suggestion with its clues, then confirm it: the payment is recorded as if you had entered it yourself. A transfer whose label names neither the invoice nor the client is never ticked in advance, and a partial payment leaves the invoice due. Debits that match no recorded expense also suggest an expense, with the category and VAT learned from your earlier entries. The statement is read on your device and never kept.

See the tutorial

How do I chase an unpaid invoice?

On the Invoices page, an invoice past its due date shows an “overdue” badge and a “Remind” button. The first step is a friendly reminder; if the invoice has already been chased, the application suggests a firm one. You choose the channel: email (invoice attached) or text message; on mobile, the text is written in your phone's messaging app and goes out on your own plan, with every plan; from the computer, texts are sent by the platform and reserved for the Pro and Team plans. A text only contains the invoice link, never the amount. Nothing goes out without your action, two reminders for the same invoice never follow each other within a few hours, and each reminder is recorded in the invoice's log. The formal notice is prepared from “More options”, and automatic reminders are set up in the settings.

See the step “Remind an overdue invoice”

Which bank statements can I use?

Exports from your online bank in OFX (or QFX), QIF, CAMT.053 (XML) and CSV formats — every French bank offers at least one. PDF is not read: its content cannot be checked reliably. Add one statement per account used for the business, savings included; overlapping statements are de-duplicated. No connection to your bank is required.

Does it file my VAT or social contributions online?

No. For VAT, the app prepares the amounts to carry over (VAT collected, whether due on receipt or on invoicing, and deductible VAT). Some cases remain for you to complete yourself and are flagged: reverse charge, intra-EU transactions, fixed assets. For micro-entrepreneur contributions, it calculates the amount. In both cases you validate, it reminds you of the deadline, and you file on the tax authority's site before entering the reference in the app. On mobile, the Obligations screen shows the next deadline and the figures to confirm, but files nothing; the computation and the transfer stay on a computer. Available from Essential.

I'm a micro-entrepreneur, VAT-exempt or on the real regime: is it suitable?

Yes. When VAT-exempt, the VAT-exemption mention in force (“VAT not applicable” with its legal reference) is added automatically to your quotes and invoices, and the app warns you as the micro-enterprise and VAT-exemption thresholds approach. Under the micro regime, it estimates your taxable base, allowance or flat-rate levy included. On the real regime, it tracks VAT and your income and expenses. It produces neither balance sheet nor tax return package: for a company subject to corporate tax or on the real regime, your annual accounts remain drawn up by your accountant.

E-invoicing

Is mandatory e-invoicing supported?

Yes. Claudiassist is connected to B2Brouter, a platform approved by the French tax authorities, and connects your company to it from the app. Your suppliers then send you their electronic invoices: they arrive in Claudiassist with their amounts read, and you approve them or refuse them with a reason, on computer or mobile. Your invoices to business customers go out in Factur-X format through the platform, and you track their status (filed, refused, paid…); a customer who is not connected yet receives it by email. The payments and sales to private customers that the law requires you to report go to the tax authorities through e-reporting, aggregated, without the names of your private customers. Timeline: receiving has been mandatory for every business since 1 September 2026; issuing and e-reporting will be by 1 September 2027 at the latest for very small, small and medium businesses and micro-entrepreneurs. E-reporting of sales to business customers established outside France is not supported yet. Available from the Essential plan.

See the Connect to e-invoicing tutorial

How do I connect my company to e-invoicing?

In the app, Settings › Advanced settings › E-invoicing › “Connect my company”, from the Essential plan; only the company's director and administrators can do it. Nothing to choose or re-enter: your company's account is opened at B2Brouter from your company profile (SIRET, address in France, NAF code, business activity, VAT regime and filing frequency, contact email); if something is missing, the screen tells you what to complete. You confirm the company size and VAT regime that will be declared, then registration in the central directory runs overnight: your suppliers can usually send you their electronic invoices from the next day, and the screen shows since when you have been connected. Is your company already registered with another platform? Enter the migration code it gives you to move here, or declare it as your receiving platform to stay there. You can also request the connection from the mobile app (“E-invoicing” section of the Settings screen); the migration code, however, is entered on a computer.

See the Connect to e-invoicing tutorial

Do I have to use the platform proposed by Claudiassist to receive my invoices?

No. You are free to choose your receiving platform. The proposed platform is the simplest: your invoices arrive directly in Claudiassist. If you already receive them elsewhere, declare it in Settings › Advanced settings › E-invoicing (“My company already receives its invoices through another platform”); then forward to a mailbox connected to Claudiassist, or import into your received documents, the invoices you want to find here.

See the Connect to e-invoicing tutorial

My accountant already has a platform. What should I do?

You can keep it. Declare it as your receiving platform: Claudiassist will no longer ask you to connect. Your supplier invoices then come in by forwarding to a connected mailbox or by import, and your accounting file goes to your accountant through “Send to my accountant”, in the accounting section. Issuing your own electronic invoices, mandatory for your company from 1 September 2027, will be possible from Claudiassist through the proposed platform, subject to the provider's confirmation.

Who keeps the invoices I receive, and for how long?

Claudiassist keeps a copy you can view and export for the duration of your subscription and the read-only period that follows. You remain responsible for their legal retention (ten years from the end of the financial year for accounting documents): export them before you leave; the export returns them in their original format.

What happens to the invoices I receive if I close my workspace?

Your workspace becomes read-only: you can view and export everything. If you are connected to the proposed platform, your migration code is requested for you: “Show the code”, in Settings › Advanced settings › E-invoicing, displays it on demand. Give it as soon as possible to your new platform, which will take over your registration: closing the workspace does not remove that registration, and invoices arriving after your closure request are no longer collected here. After deletion, the documents the law requires to be kept are retained until the end of their legal period, but you no longer have access to them: your export is your copy.

Jobs, calendar and mobile

What is a job, and what are its states?

A job brings together everything about one piece of work: customer, address, notes, quotes, invoices, conversations, scheduled appointments and files. It also holds the step-by-step progress tracking, with a link to share so the customer stays informed (“Share”), the handover report signed on site and the job sheet; maintenance contracts are followed separately, in Jobs & calendar › Maintenance contracts. It goes from lead to closing, through “Quoting”, “Scheduled”, “Work in progress”, “Done” and “Aftercare”; you change its state freely, and it moves to “Scheduled” on its own when an appointment is set from the calendar or through a suggestion you accept. Notes in the history cannot be edited.

See the Follow your jobs tutorial

Can I attach photos and documents to a job?

Yes: photos, PDFs, Word or Excel documents (as well as text, CSV and OpenDocument), 20 MB at most per file, from the job sheet; on mobile, “Photo” opens the camera. The type is checked against the file's content: a document containing macros is refused, and the GPS location of photos is removed. Files count toward your plan's storage space (200 MB during the trial, 1 GB with Essential, 2 GB with Solo, 10 GB with Pro, 30 GB with Team), shared with message attachments and voice-note audio. Closing a job does not erase its files: they go when you remove them, or when the job is deleted.

See the Follow your jobs tutorial

Can my client follow progress without an account?

Yes: from a job’s follow-up, “Share” creates a link valid for 90 days. The client sees the job’s title, the steps done and to come and only the photos you ticked, plus current reservations if you choose. The link goes by text message, email or copy and can be stopped at any time. A progress report in PDF comes from the same screen.

See the tutorial Follow a project’s progress

Can I get a handover report signed?

Yes, on the phone or computer screen: the report takes up the job, reservations are ticked or noted, the client reads the statement — never pre-ticked — and signs with a finger. One report per job; clearing the reservations is signed the same way later. Documents are archived as PDFs and sent to the client; the app then suggests the next steps (balance, retention, reservations, review).

See the tutorial Get the handover signed

Can I get a job sheet signed?

Yes, on the day of the visit or within 30 days: day and hours taken from the calendar, description typed or dictated, parts fitted, photos of the day, then the client’s signature — or “client absent”. The job sheet carries no price; it can be downloaded as a PDF, sent to the client and used as the basis of the invoice. It needs the network.

See the tutorial Get a job sheet signed and invoice on the spot

Does the app handle maintenance contracts?

Yes: each contract carries its client, its frequency and, if agreed, the price of a visit. The due date is announced 45 days ahead; you offer free slots from your calendar and the client picks one through a link, without an account, then the visit joins your calendar. The renewal notice is offered to you as the term approaches.

See the tutorial Track maintenance contracts

Can I write certificates and letters to my customers?

Yes: work, leak-detection or completion certificates, visit notices, information letters or free-form letters, from a dictation, a blank page or a template. Your company letterhead, the recipient, the date, the greeting and closing lines and your signature are filled in for you. The letter is sent by email with the PDF attached, by text message with a link (from the computer: Pro and Team plans; from the mobile app: every plan), or downloaded for hand delivery; it is numbered and locked when first sent. Regulated documents (CERFA forms, Consuel, chimney-sweeping certificates, boiler-servicing certificates) are not provided. For an insurance claim, check what the insurer or the loss adjuster requires.

See the Write and send a letter tutorial

Is my signature protected, and is it an electronic signature?

Your signature, drawn on screen or photographed on paper, can only be seen and used by you: a colleague cannot sign on your behalf. It is placed on the PDF of your own letters and of the received documents you sign. It is an image of your signature, tied to your account and to a locked, archived document: it is not an advanced or qualified electronic signature. It is erased when you leave the company.

See the Write and send a letter tutorial

Can the AI make up the content of a certificate?

It must add nothing to what you said or wrote: a number, a date or a contact detail missing from your words is left out and pointed out to you, and an empty required field blocks sending. It cannot check a fact written in words: the draft states that it was written from your description, and nothing is sent until you have reviewed it. You remain responsible for what you certify: under French law, an inaccurate certificate is an offence (article 441-7 of the Criminal Code).

See the Write and send a letter tutorial

Can I sync my Google or Outlook calendar?

Yes, connected on a computer (Settings › Mail and calendar › Calendar) or from the mobile app (Settings › Mail and calendar › Connected calendar), up to 1 calendar during the trial, 1 with Essential, 1 with Solo, 3 with Pro and 10 with Team. The connection is personal. Claudiassist only reads your busy slots, without the title or details of your events, to suggest time slots and flag conflicts; it writes to your calendar the appointments assigned to you, with their label only, unless you choose to push the details there (the customer's name, address and phone number). A customer is never added as a guest.

See the Schedule in the calendar tutorial

Which notifications will I receive?

A notification feed in the app (the bell): new customer message, quote accepted online by your customer, reminder due, mailbox down, data archive ready. On your phone, these notifications also show on the screen: the first time you open the app, it asks for your permission. In Settings › Notifications, you turn this phone's notifications on or off, choose what rings (customer messages, quotes and invoices, calendar, accounting) and set quiet hours.

Does the mobile app work offline, without a network?

Partly. Offline, it keeps on the phone, encrypted, your job notes and time spent, the steps you tick or add to a job's tracking, your expenses with their photo (as drafts), your replies to messages, accepting or declining a quote, sending an invoice and recording its payment, and your job photos; everything goes out in order when the network returns, and a conflict is resolved in “Queue”. An invoice's legal number is only assigned on reconnection. On the other hand, creating a job or a contact, issuing a quote, the job sheet, the assistant, dictation, document import and the message list need the network, and the screens you viewed are not kept for offline reading.

See the Mobile tutorial

Assistant and voice

What can the assistant do?

On a computer, you type or dictate your request in plain language: it answers from your own data (pending quotes, your day, the state of a job…) and prepares what can be prepared: a contact, a job, an expense, a payment, a quote draft for you to finish (it never guesses a price), issuing a quote, then sending it, to the quote's contact, or to the one you pick among the job's contacts when there are several. It also logs time spent on a job, fills in the VAT of a draft expense, links a message to a contact and changes its priority. It prepares, you approve in one word: “yes” for everyday tasks, “confirm” to send something to a customer, record a payment, change a contact's phone number, email or company ID (SIRET), change a job's customer or link a message to a contact. It is included in the free trial and in the Solo, Pro and Team plans, within the month's AI credits.

See the tutorial

What questions can I ask it?

Most of what can be read in your workspace: “Where do I stand?” (messages to handle, pending quotes, the amount still to collect), your unread business messages (an extract of the most recent), your appointments for a day or a week, a job sheet (customer, notes, appointments, suppliers, time spent, quotes and invoices), the state of a quote (deposit, validity date), the quotes and messages of a given contact. It answers from your data at the moment you ask, and changes nothing until you approve an action it has prepared. What it reads is sent, reduced to what the question needs, to our AI providers (see “Which AI is used?”).

See the tutorial

Can the assistant explain how to use the app?

Yes. Ask “How do I make a progress invoice?”, “Can my quotes be followed up automatically?” or “Where do I set my VAT regime?”: the assistant answers from the tutorials and this FAQ, with the steps for the computer or the phone depending on your device, and offers up to three buttons that open the right screen. If the app does not do it, it tells you so, with whatever comes closest; it never makes up a feature. It only offers screens your role can open. Opening a screen changes nothing.

See the tutorial

Can the assistant sign my documents for me?

It prepares, you decide. “Do I have any documents to sign?” lists the ones waiting; say which ones to sign, it reads you the document and the reply for each sender, and only signs and sends after your “yes”. It never signs on its own, nor without your saved signature, and sends you to the thread when the signature spot is uncertain, the document has other fields to fill in or its sender could not be verified (a spoofed email must not get your signature without you seeing the document).

See the tutorial

What small tasks can the assistant do for me?

Log time spent on a job (“Add 3 hours to the Garnier job”), fill in the VAT of an expense that is still a draft (the amount excluding tax is worked out), link a message to a contact, change a message's priority, change a job's customer, fill in a contact's SIRET. It reads back what it is about to do before doing it: “yes” is enough for time spent, VAT or priority; linking a message, changing a job's customer or a SIRET requires saying “confirm”.

See the tutorial

Can the assistant act without asking me?

Only for what you ticked in Settings › Advanced settings › Automations: attach a conversation to a job, create the deposit invoice when a quote is accepted, create an expense from a received supplier invoice. These are internal actions, never a message to a customer, and each authorisation is logged and withdrawn by unticking it. For the deposit invoice and the expense, the result is a draft, unless you choose “Already validated”. It never sets or confirms an appointment on its own, and creates neither contact nor job without you. The only exceptions that go out to a customer are the reminders for quotes and unpaid invoices, which you switch on yourself (the formal notice is never sent on its own).

See the Reminders and automations tutorial

How does voice work?

In the mobile app, or on a computer with the browser's microphone, you talk to the assistant: it answers, or prepares what you ask for (a contact, a job, an expense, an appointment, a quote…) and reads it back to you. Say “yes” and the app carries it out; to send something to a customer, record a payment, change a contact's phone number, email or company ID (SIRET), change a job's customer or link a message to a contact, you need to say “confirm”. You can also listen to a summary of your day. The microphone only listens once you turn it on (one minute at most per request), and the audio of your requests is not kept. On a computer, reading answers aloud is off by default: turn it on with one click. Voice needs a network connection. Included in the free trial and in the Solo, Pro and Team plans, within the month's AI credits.

See the tutorial

Which AI is used?

Claude models (Anthropic), used through AWS with a European profile, and Mistral models; voice transcription uses Voxtral (Mistral) and speech synthesis uses Polly (AWS). What is passed to them — text, audio, documents — is reduced to what the task requires, and processing may take place elsewhere in the European Union than in your hosting region. The detailed list of our subprocessors is available on request at privacy@claudiassist.com.

Privacy policy

Data and security

Where is my data hosted?

In the region chosen at sign-up — today Paris (AWS, region eu-west-3). Each workspace is compartmentalised: the database itself restricts every query to your company's data. For an AI processing, the content concerned leaves that database for the model provider, reduced to what the task requires, and may be processed elsewhere in the European Union (see “Which AI is used?”).

Can I get my data back?

Yes, at any time. The owner and administrators request, in Settings › My account › Subscription, a .zip archive of the workspace: company, contacts, quotes, invoices, jobs, messages and attachments — except messages classed as personal, of which only the list is handed over. It is ready in a few minutes and stays downloadable for 7 days.

See the tutorial

What counts towards storage, and how do I free up space?

Storage is a total for the whole business, not a monthly amount: it never resets (200 MB during the trial, 1 GB with Essential, 2 GB with Solo, 10 GB with Pro, 30 GB with Team). It counts attachments of emails received and sent, job files and voice-note audio, which is erased on its own 30 days after transcription. In Settings › Subscription, “Storage space” shows what is used and the largest files: “Delete” frees their space right away. Deleting an attachment does not touch your mailbox (Gmail, Outlook…). What must be kept cannot be deleted from there, and the reason is shown: a document of a quote, an invoice or an expense, a customer's acceptance, a document to sign or signed, a conversation linked to a job. When storage is full, you can no longer add files, attachments or voice notes; nothing is erased, and emails keep arriving.

See the tutorial

How long must I keep my invoices?

The law requires you to keep your invoices for 10 years. Export your workspace archive before any closure: it contains your quotes, invoices and their PDFs.

See the tutorial

What happens to my bank statements?

Nothing is kept. The file is read on your device; only the transactions of the period, with account and card numbers masked, go to the server, which compares them with your books in memory without storing them anywhere — not in the database, not in files, not in logs. The statements stay on your device for the session, then are cleared by "Finish and clear", sign-out or switching company. An expense you choose to record from the reconciliation becomes part of your books, kept like any other. When you resolve a discrepancy, your decision is kept without the statement: only the date and amount of the line are kept, never its description or your account, until your workspace is closed — and the decision can be reopened at any time.

See the tutorial

How do I delete my account and data?

The workspace owner closes it themselves: Settings › My account › Subscription › “Close my workspace”, on computer and on mobile. They confirm with their password (and their two-factor code if enabled) and type the workspace name. A paid subscription is cancelled right away, with no refund for the current period, and the workspace becomes read-only for the whole team: download the archive of your data, available until it is erased. The workspace content is then erased after 15 days by default, and 30 days at most — except what the law requires to be kept (invoices and accepted quotes, for example) and our own subscription invoices. A confirmation email gives you the erasure date. Closing cannot be undone in the app: if you change your mind before the erasure, write to contact@claudiassist.com. A team member deletes their own account: Settings › My account › Security on a computer, at the bottom of the Settings screen on mobile (“Delete my account”). How is my account protected?

By optional two-factor authentication (authenticator app or emailed code, with backup codes). In Settings › My account › Security you see your connected devices and can sign any of them out.

See the tutorial on securing your account

How do I turn on two-factor authentication?

On a computer, in Settings › My account › Security: an authenticator app (a 6-digit code that changes every 30 seconds), a code sent by email at each sign-in, or both. Once a factor is active, you generate ten single-use backup codes, shown only once. Passkeys and biometrics are not offered. On mobile, the same is set up in Settings › My account › Security (the “Account security” page): the authenticator app opens with one tap (or is set up with the key, without a QR code); the code is then requested at sign-in.

I forgot my password: what should I do?

On the sign-in page, “Forgot password?” sends a reset link to your address (the response is the same whether or not the account exists). The link is single-use and valid for one hour; the new password must be at least 12 characters long, with no other rule, and setting it signs out all your devices. Several failed sign-ins lock the account for a few minutes. There is no password change from inside your account: use this same link.

Can several people work together?

Yes, within your plan's seats. The Owner and Admins invite colleagues by email (Settings › Advanced settings › Members) and give them a role (Admin, Office or Field worker). Pending invitations count toward the seats.

See the tutorial

What roles and permissions are there on a team?

Four roles: Owner, Admin, Office and Field worker. All of them work on messages, quotes and invoices, jobs and basic accounting. The Owner and Admins also manage the company profile, members, the subscription and data export; bank reconciliation, supplier invoices and filings are open to Office but not to Field worker, who only schedules for themselves. Only the Owner transfers ownership or closes the workspace. An invitation is valid for 2 days and takes up a seat while it is pending.
